Role
The Facilities Specialist plays a key role in supporting daily facilities operations by assisting with building and grounds maintenance. This position helps ensure all common areas remain clean, safe, and visually appealing, while also coordinating the pickup and distribution of incoming mail and delivering office supplies to departments as needed.
Major Duties and Responsibilities
- Assists Facilities personnel with building operations, maintenance, and renovation projects, including support for plumbing, electrical, HVAC, lighting, lawn irrigation systems, and fire detection/protection systems. Provides support for seasonal preparation (e.g., freeze readiness), drive-up systems, backup power generation, structural components, roofing, painting, elevators, and appliances, including the procurement of new or replacement equipment. Also assists with the maintenance and general upkeep of company vehicles.
- Manages incoming and outgoing mail operations by checking parcel delivery boxes daily, picking up and processing mail, and ensuring timely delivery to the U.S. Postal Service. Coordinates and facilitates outgoing shipments with carriers such as UPS and FedEx as needed.
- Sorts and distributes incoming mail to appropriate departments and collects and delivers interoffice mail according to established schedules. Fulfills office supply requests, monitors inventory levels, and notifies the Facilities Manager when replenishment or additional orders are required.
- Additional Responsibilities as assigned
- Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control, in addition to all company policies.
Knowledge and Skills
EXPERIENCE
- Up to six months of similar or related experience including time spent in preparatory positions.
EDUCATION/CERTIFICATIONS/LICENSES
- A high school degree or GED is required. Must have a valid driver's license and acceptable driving history. Basic proficiency with Microsoft Office, including Outlook (email/calendar), Word (document creation), and Excel (data tracking and simple formulas). Ability to use Zoom for communication and collaboration.
INTERPERSONAL SKILLS
- A significant level of trust and diplomacy is required to be an effective subject matter expert in the position. In-depth dialogues, conversations and explanations with internal and external members, and outside vendors of a sensitive and/or highly confidential nature is a normal part of the day-to-day experience. Communications can involve motivating, influencing, educating and/or advising others on matters of significance.

PHYSICAL REQUIREMENTS
- Perform primarily physical exertion and occasional lifting of up to 75 lbs and limited sedentary work. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel objects, tools, or controls; and talk or hear. The employee frequently is required to stand, walk, and reach with hands and arms. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. Must be capable of regular, reliable and timely attendance.
